Implementation of a maintenance system

Maintenance progress starts with successful deployment
We have developed a clear, five-step implementation process that involves our experts from start to finish. Deployment does not require technical expertise or previous experience in system projects - VincitEAM's experienced project managers guide the process, ensuring a smooth and efficient deployment.
Through this process, we ensure that the system not only meets current needs, but also supports the evolution of maintenance and prepares it for future challenges and opportunities.
Is it worth doing the implementation yourself?
Implementing a system may seem simple, but without expert support there are significant risks. Poor implementation leads to delays, extra costs and inefficiencies, which undermine the whole organisation.
Take the risks associated with deployment and trust the expertise of VincitEAM experts!
Effective resource management
VincitEAM experts will take care of the implementation, allowing key people in your organisation to focus on their core activities without extra workload.
Optimal system settings
The system is customised to meet the needs of maintenance and material management, with automation and efficient processes that reduce manual work and improve productivity.
Error-free data migration
Critical data, such as equipment maintenance history, is transferred in a controlled manner and without data loss, ensuring the reliability of the system from the start.
Ensuring user skills
Tailored training ensures that users can make full use of the system, increasing efficiency and reducing operational errors.
VincitEAM Deployment steps
Implementation of a maintenance system
-
1. Starting a project +
VincitEAM projects start with a kick-off meeting to define objectives, timeline and roles. After the meeting, all parties have a clear understanding of the project's progress and agreed procedures.
Project tasks are managed in a common VincitEAM task view, which is accessible to all parties at all times. This ensures transparency and smooth monitoring throughout the deployment process.
-
2. Definition phase+
The definition phase involves mapping the customer's existing maintenance and material management processes and adapting VincitEAM to support them as efficiently as possible. At the same time, the necessary system settings, user rights and integration with other systems are defined.
During this phase, workshops are held where experts and customer representatives ensure that the system meets the business needs. After the design phase, the VincitEAM team has a clear plan to start the implementation.
-
3. Implementation+
During the implementation phase, VincitEAM will be deployed as planned. The system will be configured, data will be transferred and the user interface will be adapted to the needs of the organisation. At the same time, the customer will have access to test the system and ensure its functionality.
During this phase, user training will be provided to ensure a smooth transition to the new system. Active involvement of the customer in testing and feedback is key to a successful implementation.
-
4. Approval testing+
Before production use, the customer tests the functionality of the system to ensure that all the necessary data is correct and processes are working as expected. Any errors or shortcomings are corrected before final deployment.
Approval testing ensures that the system meets the customer's needs and is ready for daily use. Once testing has been successfully completed, the system moves on to the production phase.
-
5. Deployment of the system+
During the deployment, VincitEAM will officially go into production. Users will use the system in their daily tasks, and the VincitEAM team will be there to support them in any teething problems.
Project closure ensures that all agreed measures have been implemented and any further development needs are identified. The delivery project then moves into the maintenance phase and VincitEAM customer support.
Although the historical data and complex integration needs of the old system presented challenges, VincitEAM's expert and flexible support made the implementation smooth.
